About Managing Responses
If you need to work with a particular response or a subset of responses, check out how to filter your responses.
This article breaks down the multiple ways you can manage responses. You can edit, delete, and invite respondents, as well as update their background variables. This article does not cover reminders, you can learn more about sending reminders here.
Understanding Response Status
Once responses start coming in, you can view them from the responses page in your survey. Responses can have different statuses:
- Completed means they have answered the entire survey.
- Incomplete means they have partially answered the survey.
- Not answered means they have not answered. This only applies to surveys shared via email, organization, and Digital Post. Sharing via survey link, social media, QR code, and custom link only creates the respondent once they start answering, therefore, those who have not answered are not registered.
- Refuse means they refused to participate in the survey. This means that they clicked on the refuse link sent to them in the survey invitation. Respondents that refuse to participate won’t get future reminders for that particular survey.
Enalyzer uses colors to illustrate the response status in the responses list. Green is for completed responses, dark grey for incomplete, light grey for not answered, and red for refused.
Anonymous surveys will not display colors for the response status in order to protect anonymity.
View Individual Responses
Individual responses show the metadata of the respondent, as well as their background information and all their answers. To view the individual survey responses, all you have to do is:
- Go to your survey and select responses on the side menu. If the menu is closed, click on the menu icon () to open it first.
- To view the individual response, all you have to do is click on it.
- The individual response contains the following information:
- First and last name of the respondent: This could have been provided by the respondent via a form question type or upon uploading the respondent information. If the respondent's name is stated as "Unkown" it's because the first and last name system variables have not been populated.
- Response status: The response status can be identified by the color, as well as written under status.
- Respondent log: The respondent log shows the date and time of the survey invitation and reminders, including the method used to send these messages. The log also records processed triggers for Zapier integrations, as well as the date and time the respondent started and completed the survey.
- Background information: This section displays the respondent’s background information which is your survey’s background variables.

Answers: The final section displays the respondent's answers to your survey.
Anonymous surveys will not display the response log or answers. To view individual responses, download your response data file to Excel, CSV, or SPSS.
Edit Responses
Enalyzer allows you to edit your respondents' background information. The most common use is to fix a wrong email address. All you have to do is:
- Go to your survey, and select responses in the side menu (if the side menu is not open click the menu icon () to open it first).

Find the response you want to edit and click on it. You can fil
- Under background information, you can edit the variables you need to. Your changes will be saved immediately.
- Click the close window icon () to go back to the survey's responses.
Delete Responses
If you need to delete a particular response or a subset of responses, filter your responses before deleting them.
To delete responses, all you have to do is:
- Go to your survey, and select responses in the side menu (if the side menu is not open click the menu icon () to open it first).
- Click on the actions menu and select delete.
- Select the respondents you want to delete, and click delete.
- Your respondents will be deleted immediately.
Deleting incomplete or not answered responses collected via email or Digital Post means that the respondents will no longer have access to answer or finish answering the survey.
Deleting a response permanently removes its data. Deleted responses can only be recovered within 10 days, after which the deletion is irreversible. Recovery of responses is subject to a fee. Contact customer support for more details.
Print Responses
If you need to print a particular response or a subset of responses, filter your responses before printing them.
To print your responses, all you have to do is:
- Go to your survey and select responses on the side menu. If the menu is closed, click on the menu icon () to open it first.
- Click on the actions menu and select print.
- Select the responses you want to print and click the print button. You'll see a printable preview of the selected responses.
Printing is limited to a max. of 100 responses at a time
- Click the print button and your printer dialog window will pop up. Follow the instructions to print your survey.
Save Responses to PDF
You can save individual responses as a PDF file, all you have to do is:
- Go to your survey and select responses on the side menu. If the menu is closed, click on the menu icon () to open it first.
- Click on the actions menu and select print.
- Select the responses you want to print and click the print button. You'll see a printable preview of the selected responses.
You can't save more than 100 responses to PDF at a time.
- Change the destination to Save as PDF instead of a printer.
- Click save.
- The PDF file of your survey will be saved to the Downloads folder on your computer.
Invite Respondents
If you need to invite a particular respondent or a subset of respondents, filter your responses before sending the invitations.
If your respondents cannot find their invitations, then you might want to send the invitation again. All you have to do is:
- Go to your survey and select responses on the side menu. If the menu is closed, click on the menu icon () to open it first.
- Click on the actions menu and select print.
- Select the responses you want to print and click the print button. You'll see a printable preview of the selected responses.
You can't save more than 100 responses to PDF at a time.
- Change the destination to Save as PDF instead of a printer.
- Click save.
- The PDF file of your survey will be saved to the Downloads folder on your computer.
If you have any scheduled reminders, sending manual invitations will reset the invitation date and thus delay your scheduled reminders in comparison to those respondents that are not re-invited.
Reset Responses
The reset option allows you to delete all answers from specific respondents. Resetting can be used if a person has answered the survey incorrectly and wants to answer the survey again.
All you have to do is:
- Go to your survey, and select responses in the side menu (if the side menu is not open click the menu icon () to open it first).
- Click on the actions menu and select reset.
- Select the respondents you want to reset and click reset
- Enter the number of respondents being reset and click okay
- The selected respondents' will be reset immediately.
FAQs

Strange symbols in your respondents' first and last names are most likely due to the wrong CSV format when uploading your Respondent List (CSV file).
When uploading your Respondent List into Enalyzer, the CSV file has to be UTF-8 formatted. Learn more about creating Respondent Lists here.
