About Reminders

Reminders let you nudge the people who haven't completed your survey, so you can get more responses. To send reminders, the email system variable has to be populated by the respondent's email.

There are two ways of sending reminders:

  1. Manual reminders: Send a reminder email instantly and manually. You can send as many manual reminders as you want.
  2. Scheduled reminders: Send one or two reminders a certain number of days after the first invitation is sent. If you share your survey with more respondents later, they'll also get a reminder with the defined schedule.

Manual Reminders

Before you get started, make sure that you have created the reminder message you are going to send out. You can send reminders to anyone, however, we recommend that you send reminders to those who have partially completed your survey and those who have not answered it at all. To do so, you first have to filter your responses by response status.

STEP 1: FILTER RESPONSE LIST

To filter your response list, all you have to do is:

  1. Go to your survey and select responses in the side menu.
  2. Click on the filter button and the filter respondents side menu will open.
  3. Click on the add filter dropdown menu and select response status.
  4. Under response status, select the incomplete or not answered response status. Incomplete refers to those respondents who have partially completed your survey. Not answered refers to those who have not answered the survey at all.

    Add more filters if necessary to make sure you send the reminders to the right respondents.

  5. Click apply to filter your responses and close the filter respondents side menu.

STEP 2: SEND MANUAL REMINDERS

Now that you've filtered your respondent list, you are ready to send reminders manually. All you have to do is:

  1. Click on the actions menu and select remind. If you do not get the remind option, it's because the respondents cannot be reminded. This might be due to the fact that the email background variable is empty.
  2. Select the respondents you would like to remind and click the remind button.
  3. Edit the sender information if necessary. This information is taken from the survey settings.
  4. Select your reminder message. If you don't have one, you can create one from scratch or use one of our ready-to-send default messages.
  5. When you're ready click next.
  6. Edit the message text if necessary. When you're done, click next. If you have several languages, you will go through all languages before you reach step 3.
  7. Edit the message design if necessary.
  8. When you're ready, click remind.
  9. You've been alerted that the reminders have been sent.

Schedule Reminders

Scheduling reminders saves you precious time and money. By scheduling the first and second reminders, you can just sit back and rest assured that your reminders will be sent according to your plan. We recommend you send two reminders; one halfway through the survey process, and another a day or two before the closure of the survey.

To schedule your reminders, all you have to do is:

  1. Go to your survey and select responses in the side menu.
  2. Click the options menu and select schedule.
  3. Enable the first reminder.
  4. Select the message that will be sent as a reminder.
  5. Set the number of days after the invitation, which is when the reminder will be sent.
  6. Enable the second reminder and repeat steps 2 & 3.
  7. Click save and insert your password to save the settings.

Once you schedule a reminder, this will be done for existing and future respondents. When you schedule reminders, Enalyzer finds all respondents that have not answered the survey or have partially answered the survey and calculate the date of the reminder, based on the setting you defined, for each respondent. If the date for the respondent has passed by no more than 5 days, the reminder is sent. Respondents that have received one or two manual reminders, will be ignored by the scheduled reminders setting.

Example

Jan 01: you invite a respondent
Jan 10: you set a reminder for 2 days after the invitation.

This means the respondent you invited on Jan 1, should've gotten a reminder on Jan 3, since the difference is more than 5 days, the reminder is not sent.

Lastly, scheduled reminders check if the respondent has been reminded before, if a respondent has been sent 1 reminder, and you have scheduled two, it will only send one of the scheduled reminders. If the respondent has been sent two reminders, none of the scheduled reminders will be sent.
